Stocktaking and Inventory Counting

Retail / Operational

"The observable action of counting physical stock accurately and reconciling it against the system record — finding and explaining discrepancies so the business knows what it actually holds."

YOUR SKILLS

Problems This Skill Solves

  • System stock figures that no longer match what is on the shelf
  • Shrinkage (theft, damage, miscounts) going undetected and uncosted
  • Over-ordering or stockouts caused by inaccurate inventory records
  • A stocktake that takes too long or produces numbers no one trusts

Myths vs Truths
Myth

"Stocktaking is just counting — it does not matter who does it."

Truth

An inaccurate count is worse than no count: it corrupts ordering, hides theft, and misleads the business. Accuracy under fatigue, methodical coverage, and honest variance reporting are exactly why a trusted counter matters.

Myth

"RFID and automated inventory will make manual stocktaking disappear."

Truth

Automation reduces routine counts but creates a new job — investigating why the automated figure and the physical reality disagree. Someone still has to reconcile, explain shrinkage, and verify the system, which is the harder half of the skill.

Research & Outlook

RFID, computer-vision shelf scanning, and perpetual inventory systems are automating raw counting, but reconciliation, shrinkage investigation, and verifying the automated record remain human. The task shifts from counting everything to auditing what the system claims.

Expert

Runs a full stocktake, investigates and explains shrinkage, and improves the counting process

How to Practise

  • 1.Practise counting a section twice and getting the same number both times
  • 2.Learn to scan-count a bay methodically so nothing is missed or double-counted
  • 3.Reconcile a count against the system and investigate why a figure is off
  • 4.Practise recording variances clearly enough that someone else could follow your trail

How to Prove

  • ·Produce stocktakes with low, well-explained variance
  • ·Hold a reference confirming accurate, trusted counts
  • ·Show a reconciliation report where you traced and explained a discrepancy
